Our Parklife CIC – Our Customers – Privacy Notice

Our Parklife CIC is a Community Interest Company on Queen Elizabeth Olympic Park and delivers the following services:

  1. Education and Careers visits
  2. Tours
  3. Mobility Services
  4. Corporate Volunteering activities

What information will Our Parklife hold about you?

The information that we hold about you is what you have chosen to disclose and includes, but is not limited to:

  • Name
  • Contact email
  • Address
  • Contact phone number
  • Photographic images
  • Data regarding any special requirements/access or support needs you or those you are bringing to the Park may have in order for us to make the relevant provisions
  • If you hire equipment from us we may ask you for proof of identification, and we will retain copies of that Identification until the equipment is returned.

Why do we need this information?

We need this information in order to contact you to ensure we make the necessary arrangements and provisions appropriate to the services outlined above.  We process your personal data with your consent for a number of purposes, this includes a lawful basis for the execution of a contract that we have with you, when we receive your consent and when it is in our legitimate interests to do so. You can be assured that we will only ever ask you for the minimum amount of information necessary, to enable us to achieve those purposes. The processing activities that we undertake will depend on the services we are providing to you but will broadly include (but are not limited to):

Education and Careers visits

Where you have arranged either directly or on behalf of a group coming to the Park for one of our Education or careers visits, we will process your data in order to manage all aspects of your booking. This may include us seeking feedback from you regarding your experience. (and the details of the activity have changed)

Where relevant we may contact you to offer you wider opportunities relating to your visit which we consider to be of interest to you and your group. For example:

Employment and training opportunities such as Apprenticeships, vacancies, work experience programmes

Tours

Where you have prebooked on one of our tours, we will process your data in order to manage all aspects of your booking. (and the details of the tour have changed)

Mobility Services

Where you have prebooked or prearranged equipment provided by our Mobility Services such as a scooter, wheelchair, buggy or sighted guide. We will process your data in order to manage all aspects of your booking, including any issues that relate to your booking.

Corporate Volunteering

Where you have expressed an interest in volunteering with colleagues with us on the Park. We will process your data in order to manage all aspects of your booking. This may include photos, and seeking feedback from you regarding your experience (and when the details of the activity have changed)

Where relevant we may contact you to offer you wider opportunities relating to your visit which we consider to be of interest to you and your colleagues.

What will we do with your Personal Data?

We will only use your personal data for the above purposes, and we will share your information within the ENGIE group of companies (including any successors). Additionally, we may share your information with the London Legacy Development Corporation and other Our Parklife partners (ENGIE Services Limited, idverde, Groundwork London and Renaisi), where it is necessary for us to do as they may be directly delivering activities/services. Your details will not be shared with any external organisations without your prior consent.

We may also share your information with third parties or statutory bodies, where we are under a legal obligation to do so.

Data Retention

Education and Careers visits

We understand that many groups arrange educational visits on an annual basis, we will therefore retain your details for two years, however if you’d like us remove your details from our database you can request this by emailing volunteer@queenelizabetholympicpark.co.uk

Tours

If you have prebooked a tour with us we will retain this information for 1 month after your visit. It will then be deleted.

Your personal data will be held within the European Economic Area (EEA). Please note that your information may be held on systems where the support services are provided outside the EEA. In those instances, they will either be located in countries recognised by the EU as equivalent in the level of their data protection or ENGIE will have signed contracts giving a similar level of protection.

Mobility Services

If you have prebooked a piece of Mobility Equipment with we will retain this information for 1 month after your visit. It will then be deleted.

If you provide us with proof of identification in order to hire equipment from us, we will destroy any coy made upon return of the equipment.

Corporate Volunteering activities

We understand that many groups take part in Corporate volunteering activities on an annual basis, we will therefore retain your details for two years, however if you’d like us remove your details from our database you can request this by emailing volunteer@queenelizabetholympicpark.co.uk

Communication

We may, on occasion wish to contact you in relation to the services or activities you have taken part in or registered an interest in. We will never pass your contact details to third parties without your prior consent. If you would like us to remove you from our records you can request this by emailing volunteer@queenelizabetholympicpark.co.uk

Photo consent

Our Parklife, our partners and others providing a service to you often take photographs or videos for marketing purposes. These images may appear in our printed publications, on our website or on social media. We will ask you to complete a photo consent form or give clear consent when you sign in on an event/shift with us in advance of taking any photographs.

What are my rights?

If you wish to gain access to the personal information that we hold about you, or if you wish us to correct or erase any information that we hold about you, please contact us at parkinfopoint@londonlegacy.co.uk . If you are dissatisfied with our response, you may also contact the Information Commissioner’s Office.
